1. Booking Process and Confirmation

Travel reservations submitted through ontatrip.com, mobile applications, or customer support channels are processed subject to real-time seat, room, and price confirmation. A reservation becomes confirmed and legally finalized when full payment is completed and OntaTrip issues an official electronic ticket (e-ticket), hotel voucher, or service confirmation containing a unique booking reference number.

Automated checkout acknowledgments or payment receipts generated prior to ticket issuance reflect pending requests. In the event that an airline or hotel updates rates or availability before issuance, OntaTrip will reach out promptly to confirm if you wish to proceed at adjusted rates or receive a full refund of payments made to OntaTrip.

2. Passenger Information Accuracy

We kindly request that travelers verify all passenger details carefully during the booking process. Given names, surnames, titles, dates of birth, and passport numbers should match official identity documents character for character:

Name Modification Rules: Commercial airlines strictly prohibit passenger name transfers once an e-ticket is issued. Minor name spelling corrections, when permitted by carrier rules, are subject to airline penalty fees and OntaTrip administrative handling charges.

Special Category Fares: Reservations made under discounted student, labor, or corporate fare rates require valid supporting documentation (such as a valid student card, university acceptance letter, or labor authorization). Travelers are politely asked to present required documents at airport check-in.

3. Flight Date Changes and Reissuance

Modifications to confirmed reservations, including date changes, flight routing alterations, or cabin upgrades, are managed according to operating airline fare rules:

Airline Fare Conditions: Flight modifications are permitted when allowed under the purchased fare rules. Certain promotional or restricted fares may be non-changeable.

Applicable Charges: Reissuing flight dates involves paying the airline date-change penalty, any difference in airfare for the new flight, and OntaTrip non-refundable reissuance handling fees.

Advance Requests: Travelers are kindly requested to submit date change requests at least 24 hours prior to scheduled departure. Requests submitted close to departure time may incur airline no-show charges.

4. Cancellations and Refund Terms

Cancellation eligibility and refund terms are governed by the primary service supplier rules:

Flight Tickets

Refund eligibility depends on airline fare rules. Restricted fares may permit only uncollected tax refunds. Refundable fares incur airline cancellation penalties plus OntaTrip refund handling fees.

Hotel Reservations

Cancellation rules vary by room rate type. Promotional non-refundable rates remain non-refundable. Flexible rates allow cancellation without penalty if requested before the property deadline.

Visa Services

Embassy application fees, consular charges, and OntaTrip visa documentation charges are non-refundable once documents are submitted to diplomatic missions, regardless of visa approval results.

Holiday Packages

Package cancellation schedules are detailed in specific tour agreements. Deposit payments and customized excursion vouchers may be non-refundable based on supplier commitments.

5. Refund Settlement Timelines

Approved refunds are credited back to the original form of payment used during checkout. Once a cancellation request is approved by the primary airline or travel supplier:

Airline and GDS refund authorizations typically take between 14 to 30 business days to complete.

OntaTrip remits approved refund amounts promptly upon receiving settlement credits from the primary supplier, less applicable cancellation penalties and service fees.

Your card issuer or bank may require additional business days to display the credited funds on your account statement.

6. Schedule Changes and Flight Status Checks

Airlines reserve the right to modify flight schedules, adjust departure times, or update routings due to weather, operational requirements, or air traffic control directives:

Schedule Updates: OntaTrip makes reasonable efforts to notify travelers of airline schedule changes via email or SMS. Travelers are kindly advised to re-confirm flight departure times on the operating airline website 24 hours prior to departure.

No-Show Guidelines: Passengers who miss check-in without canceling prior to flight departure are classified as no-shows under airline rules. Most carriers forfeit no-show tickets with zero residual refund value.

7. Special In-Flight Requests

Special requests, including seat preferences, special dietary meals, bassinet arrangements, or wheelchair assistance, are forwarded attentively to operating airlines and hotels upon booking. While OntaTrip passes along these requests promptly, final fulfillment rests with the respective service supplier.
